Frequently asked questions

How do I invoice a client for consulting hours?

List each block of work as its own line with a short description, the number of hours, and your hourly rate — the line total is hours times rate. If you bill by the day or a fixed project fee, use days or a single line instead. The template adds the subtotal, any tax, and the grand total for you, so the client sees exactly how the amount was reached.

Should I invoice hourly, by the day, or a flat project fee?

All three are common in consulting — use whatever your engagement letter or statement of work agreed. Hourly and day rates suit open-ended advisory work; a flat fee suits a defined deliverable. This template supports any of them: just describe the line and set the quantity and rate to match how you agreed to bill.

What payment terms should a consultant put on an invoice?

Net 30 is common for corporate clients, but Net 15 or Net 14 gets you paid faster and is fine for smaller clients. Net 30 means payment is due 30 days after the invoice date, not by the 30th of the month. Put the terms and your accepted payment methods in the notes so there is no ambiguity.

Do I need a registered company or LLC to invoice as a consultant?

No. A sole proprietor can invoice under their own legal name — you do not need an LLC or a registered business to bill a client. This is general information, not legal or tax advice; check your own situation if you are unsure. Give each invoice a unique number and never reuse one, even for a voided invoice.
